There is no shortage of advice about what AI workflows should look like. Which tools to use. What automation platforms to connect. How many hours per week you could theoretically save if you implemented everything correctly and the moon was in the right phase.
What is harder to find is an honest, granular account of what a working AI system actually looks like inside a real business, not a tech startup, not a Fortune 500 pilot program, but the kind of operation that most people reading this are actually running or trying to build.
This is that account. A $500K-per-year consulting and content business, one operator, two part-time contractors, and an AI workflow that fundamentally changed how the business runs. Here is how it is structured, what each piece does, and what actually changed when it went live.

Layer 4: Knowledge Management
This is the least glamorous layer and the one that produces the most compounding value over time.
